Library Book Loss and Damage Policy

 

Policy

The North South University Library is committed to providing access to its resources for all students, faculty, and staff. To maintain the quality and availability of these resources, the library has established guidelines concerning the borrowing, returning, and handling of library materials.

Borrower’s Responsibilities:
  • The library communicates all notices regarding overdue, lost, and recalled materials via email to the registered email addresses of the borrowers. All library users must ensure that their email addresses are current in the library’s records.
  • Borrowers are solely responsible for the timely renewal and return of borrowed items to avoid fines and fees. Regular checking of email for library correspondence is recommended.
  • In instances where notification emails are not received, borrowers should promptly contact the library circulation desk to address and resolve any issues with the email notification system.
Lost Materials:
  • All losses must be reported to the library immediately upon discovery. This allows the library to take timely actions, such as adjusting records or replacing materials.
  • Items not returned within a semester of the due date will be automatically declared lost, and borrowers will be charged for the replacement cost plus an additional 25% processing fee.
  • Failure to clear fines or return materials may lead to severe academic and institutional repercussions, including withholding official transcripts or diplomas and revocation of library privileges.
Loss or Damage Policy:
  • Borrowers must assess the condition of materials at the time of checkout. Upon return, if an item is found damaged beyond normal wear and tear, the borrower must fund the replacement, adhering to the latest edition requirement.
  • The replacement of lost or damaged items should be with the most current edition. If part of a series, the complete series may need replacement to ensure uniformity of the collection.
  • Only original copies are acceptable for replacements. The library does not accept photocopies, ensuring the integrity of its collection.
  • Any attempt to steal or intentionally damage library properties is subject to severe disciplinary actions, including potential legal consequences.
